The National Gallery of Victoria (NGV) is seeking a Fundraising Administration Coordinator who will play an instrumental role in administrative operations and database activities for the Fundraising team while ensuring accuracy, attention to detail and a high level of customer service.  

You will assist the NGV Fundraising team by providing vital support for the day-to-day operations of the Fundraising team with focus on efficiency, accuracy and attention to detail, with significant involvement in donor database activities. You will act as a central point for donation processing and administration, ensuring the timely receipting and thanking of donors, recording, and tracking all donations received including pledged support, maintaining internal donation registries, drafting and distributing thank you letters to donors, and providing regular reports on progress of donations and appeals. Other key responsibilities will include:   

  • Assisting in the coordination of mail-outs, processing invoices and procurement requests, collating Foundation Board papers and maintaining meticulous file keeping, amongst other departmental administrative activities.
  • Undertaking tasks through the CRM database, Tessitura, such as inputting cash and in-kind gifts in a timely manner and with high levels of accuracy, ticket processing, creating new and updating existing constituent records and developing, producing and analysing database reports. Working with the Fundraising and Finance teams to improve and enhance the database, assist with data hygiene tasks, and implement improvements wherever possible.
  • Acting as a central point of contact for the Fundraising team, providing front line customer service for all external calls and queries ensuring that enquiries are responded to in a professional manner and delivered with a high level of professionalism, while maintaining oversight of the NGV Foundation email inbox and its incoming and outgoing correspondence.
  • Supporting the delivery of stakeholder functions at the NGV, such as generating invites lists and managing RSVPs, producing name labels as well as attending after-hours events. Embody NGV values as an ambassador for the Gallery, confident in welcoming important stakeholders at NGV events and providing a high level of customer service throughout.

To be successful, you will have previous experience in processing donations, providing high quality administrative support, a solid working knowledge of a Donor Management system, preferably Tessitura, and experience in liaising with high profile stakeholders with relevant tertiary qualifications desired. You will be familiar with using a wide range of software application features for word processing, spreadsheets, etc. You have ability to handle highly sensitive and confidential information and material and excellent interpersonal skills, with an emphasis on diplomacy and discretion.
